Administrative Assistant
1. Job Description
The Administrative Assistant will be responsible for:
- Managing reception duties, telephone services, visitor registration, and incoming/outgoing correspondence.
- Assisting consular services (visa services, scholarship programs, etc.) as well as the Embassy’s administrative activities.
- Drafting and managing administrative and diplomatic correspondence (verbal notes, official letters, etc.).
- Participating in the administrative management of contracts, vehicles, buildings, equipment, and other Embassy resources.
- Managing and archiving administrative documents and monitoring administrative files, including those related to CNPS.
- Assisting with the preparation and organization of receptions, cultural events, and other official Embassy activities.
- Performing any other duties assigned by the Embassy.
2. Qualifications
Candidates must meet the following requirements:
- Hold at least a Bachelor’s degree equivalent to Bac+4.
- Candidates with a Master’s degree (Bac+5) or higher qualification will be given preference.
- Excellent presentation and strong customer service skills.
- Ability to organize work effectively within a team, with strong discipline, adaptability, and openness in a multicultural environment.
- Strong written and verbal communication skills.
- Excellent command of French (reading, writing, and speaking).
- Knowledge of English will be considered an advantage.
- Excellent computer skills and proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Candidates with IT skills will be given preference.
- Candidates holding a valid driving license will be given preference.
3. Application Requirements

a. Updated Curriculum Vitae (CV)
The CV must include a recent color photograph taken within the last three (3) months.
The CV must clearly mention:
- The candidate’s Bac+4, Bac+5, Master 2, or higher degree under the “Education”, “Academic Background”, or “Training” section.
- The exact period of each professional experience (example: March 2020 to August 2023).
- Email address.
- Mobile phone number.
b. Motivation Letter
Applicants must provide a detailed motivation letter explaining:
- Their motivation for applying.
- Their professional experience.
- The strengths and skills they would bring to the position.
Note: Candidates selected after the recruitment process will be required to provide the following documents within the timeframe specified by the Embassy. Applicants are encouraged to prepare them in advance:
- Birth certificate extract.
- Letter(s) of recommendation (if applicable).
- Degree certificate(s) and academic transcripts.
- Professional experience certificate(s).
- Criminal record certificate.
- Certificates or proof of qualifications.
- Medical certificate (according to the procedures communicated by the Embassy).
